Executive Assistant

Duties:

*Is responsible for the provision of high quality administrative and secretarial support for the aligned Senior Managements.  This includes day-to-day operational aspects of work such as diary management, email prioritisation and management, managing travel, organisation of meetings, purchasing/invoice payment;
*Provides direct assistance to the Senior Management with communications, delivering high quality day-to-day management of communications/liaison between their Office and their direct reports/other internal and external bodies;
*Provides support to committees, working groups and ad hoc meetings as and when required; this includes the clerking of committees (minute taking and follow-up of actions);
*Researches, prepares and collates briefing papers/other information and material as and when required;
*Creates input to reports, papers and documents being used by the Senior Managements;
*Works with colleagues in the wider Office of the Dubai Provost to develop and maintain office systems, processes and procedures for support, including maintaining filing and management of records, in line with the University’s records management policy and adopted best practice;
*Provides support to more junior and less experienced team members from Study World, coaching them on how to complete work and approach problems;

Qualifications:
*Educated to Highers/A-Level standard (or equivalent)
*Substantial relevant experience and success in similar work in administration
*Proven experience of delivering excellent customer service
*Proven experience of building, and maintaining, relationships with a wide variety of stakeholder groups and audiences
*Strong time management skills, with the ability to work under pressure
*Ability to confidently multitask and to plan and prioritise workload, often in the face of changing and conflicting demands
*Strong decision-making skills, including when dealing with limited information or unexpected circumstances
*Excellent interpersonal skills, with the ability to respond appropriately to a broad range of scenarios and stakeholders
*Articulate, with first –rate communication skills, in both written and spoken English
*Keyboard skills and a good working knowledge of Microsoft Office applications
